Digital Signature in TallyPrime
Digital Signature in TallyPrime is a boon for businesses. This facility helps you to digitally sign and authenticate papers, documents, vouchers, and reports. It helps to avoid replication, tampering, and alteration of records after the same is digitally signed. The said facility provides great ease in sharing documents with business people. It is a 2.1 version that supports dongle-based digital signature in PDF documents. You need a digital signature certificate token or dongle from Certifying Authorities like Capricorn, eMudhra, Verasys, IDSign CA, etc. A DSC dongle should be connected to your PC or laptop for availing of the facility.
Configuration
- Firstly, connect your dongle to the PC or laptop to configure the digital signature in TallyPrime.
- Now, export, e-mail or print any voucher or report using Ctrl+E for export, Ctrl+M for sending an e-mail or Ctrl+P for print.
- Use F8 to select the desired File Format like Export and Email. You can also configure using C. Then select the File Format and press Enter. After selecting the File Format like PDF (read-only document), the digital signature configuration appears on the screen.
- In case, you want a print of the document, use F6 or C to select Microsoft Print to PDF and then proceed with Enter.
- Select the desired signature from the List of Digital Signature Certificates.
- If you want to set the option Ask before signing as Yes then TallyPrime will ask before adding a digital signature to it.
- Format of Signature is either to include only Text or a Text & Image option to add an image of your handwritten signature.
- Copy the image path stored in the system and paste the location in the Image Path. You should also add Image by selecting the image on the folder. Select Yes in the Include name of signatory.
Sharing digitally signed documents
- Press Ctrl+E, Ctrl+M or Ctrl+P for exporting, mailing or saving documents. A respective settings screen will appear.
- Use Ctrl+A to accept the screen and proceed.
- The configuration screen will appear for exporting documents (E), sending e-mail (M) or printing documents (P).
- If you have set Ask before signing as Yes then press Y to add digital signature to the document. Now, you will also have to Enter User Pin in the dialog-box on the screen and then select Ok.
- You might be needed to re-enter the User Pin if you close TallyPrime or the dongle is disconnected from the system.
Digital Signature in Multi-Voucher Reports
- Press Alt+E then Others and press Enter to type and select Multi-Voucher. Then press Enter. Alternatively, press Alt+M or Alt+P for sending an e-mail or taking a print.
- Use C for configuring export of Multi-Voucher report for preferred settings. Press F8 for configuring digital signature if it was not configured before.
- Use E to send the multi-voucher report with digital signature on each voucher.
- It will be exported as a single PDF.
Validating Digital Signature
If anyone receives digitally signed documents from a stakeholder then he should verify the digital signature on the document. It is because of the possible chances of tampering and manipulation in the documents after the document is digitally signed.
- Firstly, click on the digital signature to see Signature Validation Status. The status will be shown Invalid if the document was earlier tampered with.
- Now click on Signature Properties so that the window appears on the screen. After verifying the details on the screen, Close the window.
What is TDL?
It is a proprietary language of Tally that assures incorporation of additional functionalities. The product Tally. Developer 9 is an integrated development environment that provides for development in the TDL language.
Types of Digital Signature
- Class 1
Class 1 DSC is issued to both individuals and professionals. It ensures that the information in document does not conflict with the information in the recognised database.
- Class 2
Class 2 DSC is issued to both personal and private individuals for transactions carrying significant value or high risk factor. It includes access to private information and a substantial level of malware.
- Class 3
Class 3 DSC is issued to both organisations and individuals. Due to high threats or higher chances of failure of security services, a great scale of data security is offered.
What happens if the certificate expires?
If the certificate expires, you can contact the token provider for renewing the signature and the token can be well used with Tally again.
Seal & Sign in Tally Invoice
If there are hordes of invoices to be signed or stamped then we cannot use an authorised signatory for signing every invoice. We should use a digital signature certificate for signing such invoices in a row. This shall save a lot of time and effort for future.
Having multiple companies in Tally, will a digital signature work on all companies in Tally?
It is important to check for signature to be used with such company and this add-on allows you to use it with all companies against Tally serial number for which the add-on was bought.
